EVENT RENTAL AGREEMENT

 

Wedding Revolution, LLC

This Event Rental Agreement (“Agreement”) is entered into between Wedding Revolution, LLC (“Provider,” “Owner,” “We,” or “Our”) and the individual(s) identified on the invoice and signing below (“Client,” “Renter,” “You,” or “Your”).

 

Wedding Revolution, LLC agrees to provide event rental equipment and/or services for the event specified on the invoice, including the event date, time, and location.

This Agreement represents the entire agreement between the parties and supersedes any prior discussions or understandings. Any modification must be in writing and signed by both parties.

This Agreement shall be governed by the laws of the State of California.

1. Booking & Reservation

To reserve an event date, Client must provide:

  • A signed rental agreement

  • A non-refundable deposit of 20% of the total rental amount

The deposit secures the event date and rental items.

A valid credit card must be kept on file for incidental charges, damages, or additional fees.

If booking occurs within seven (7) days of the event, 100% of the total amount must be paid at the time of booking.

2. Payment Terms

The remaining 80% balance must be paid no later than seventy-two (72) hours before the event date or delivery date, unless otherwise agreed in writing.

Failure to pay the balance by the required deadline may result in cancellation of the reservation, and the deposit shall remain non-refundable.

Payments may be made through the Wedding Revolution website or by credit card. Credit card payments may be subject to a 4% processing fee.

3. Cancellation Policy​If Client cancels after signing this Agreement, the deposit will be forfeited.

Wedding Revolution, LLC reserves the right to terminate this Agreement if Client:

  • fails to make required payments

  • files for bankruptcy or creditor protection

  • violates the terms of this Agreement

If the Agreement is terminated due to Client breach, all payments made may be forfeited.

4. Venue Access & Setup Conditions

Client agrees to ensure that the event location is accessible, safe, and ready for setup at the agreed delivery time.

 

Client is responsible for ensuring:

  • adequate parking and loading access

  • sufficient setup space

  • compliance with venue rules and restrictions

If Wedding Revolution, LLC is unable to complete delivery or setup due to venue restrictions, lack of access, unsafe conditions, or failure of the Client to coordinate with the venue, no refund will be issued and additional fees may apply.

 

5. Event Surface Requirements​

Wedding Revolution, LLC does not provide services for events taking place on dirt, gravel, or rock surfaces unless previously approved.

Client must provide appropriate and stable surfaces for equipment setups.

Failure to provide suitable conditions may result in cancellation without refund and may include travel charges and a $50 restocking fee.

6. Rental Equipment Ownership

All rental equipment and decor remain the property of Wedding Revolution, LLC.

Equipment must remain onsite at the event location unless otherwise approved in writing.

Client assumes full responsibility for loss, theft, vandalism, misuse, or damage to equipment caused by Client, guests, vendors, or attendees.

Repair or replacement costs may be charged to the card on file.

 

7. Equipment Care & Damage

Rental equipment must be used only as intended and handled responsibly.

Client may not alter rental items, including:

  • drilling

  • screwing

  • painting

  • attaching nails or adhesives

  • modifying equipment in any way

Client accepts full responsibility for any damaged, broken, lost, or stolen equipment.

Wedding Revolution, LLC reserves the right to charge the Client the full replacement cost, including repair costs, labor, handling, and transportation fees.

Client must inspect rental items upon delivery and report any issues immediately in writing.

 

8. Delivery & Pickup

All rental equipment will be delivered and retrieved exclusively by Wedding Revolution, LLC, unless otherwise agreed upon.

Once equipment has been placed in the designated setup location, Client may not relocate items without approval.

Wedding Revolution, LLC will inspect equipment upon pickup.

 

9. Rental Duration

The rental period begins at the time listed on the invoice and continues until equipment is retrieved.

Client agrees to ensure equipment is ready for pickup at the scheduled time.

Events ending after 10:00 PM may incur an additional $150 late event fee.

10. Late Returns

If equipment is not available for pickup at the agreed time, Client agrees to pay $150 per day until the equipment is returned.

Late fees may be automatically charged to the card on file.

 

11. Travel & Delivery Fees

Delivery fees may apply based on the distance from the Wedding Revolution warehouse, up to 100 miles.

 

Additional travel costs may include:

  • parking fees

  • valet fees

  • tolls

  • venue access charges

These costs will be added to the Client invoice.

 

12. Outdoor Event & Weather Responsibility

For outdoor events, Client assumes full responsibility for providing adequate weather protection for rental equipment.

Wedding Revolution, LLC shall not be responsible for damage caused by:

 

  • wind

  • rain

  • weather conditions

  • improper outdoor setup

 

13. Assumption of Risk

Client acknowledges that rental equipment and event setups may involve inherent risks.

Client agrees to supervise guests and ensure equipment is used safely.

Wedding Revolution, LLC shall not be liable for injuries or accidents involving guests, vendors, or attendees during the event.

Client agrees to release, defend, and hold harmless Wedding Revolution, LLC from any claims arising from the use of equipment at the event.

 

14. Third-Party Vendors & Venue Responsibility

Wedding Revolution, LLC is not responsible for the actions of third parties including but not limited to:

 

  • venues

  • vendors

  • planners

  • caterers

  • DJs

  • photographers

  • guests

Client is responsible for coordinating with the venue and ensuring compliance with venue policies.

 

15. Limitation of Liability

To the fullest extent permitted by California law, Wedding Revolution, LLC shall not be liable for any indirect, incidental, consequential, or special damages.

Provider’s maximum liability shall not exceed the total amount paid by Client under this Agreement.

 

16. Force Majeure

Wedding Revolution, LLC shall not be liable for delays or failure to perform services due to circumstances beyond reasonable control including:

 

  • weather

  • natural disasters

  • government restrictions

  • illness

  • transportation issues

  • labor disputes

Such circumstances shall not constitute grounds for refunds.

 

17. Chargeback Protection

Client agrees not to initiate a credit card chargeback without first attempting to resolve the issue directly with Wedding Revolution, LLC.

 

Client acknowledges that rental items and services are reserved specifically for their event date, and deposits are non-refundable.

 

Client agrees to reimburse Wedding Revolution, LLC for chargeback fees, administrative costs, collection costs, and attorney fees incurred as a result of a dispute.

 

18. Photo & Video Release

Wedding Revolution, LLC reserves the right to photograph or record video of event setups and decor.

 

These materials may be used for marketing, advertising, and promotional purposes without compensation.

Wedding Revolution, LLC retains full ownership of all photos and videos taken by its staff.

 

19. Indemnification

Client agrees to indemnify and hold harmless Wedding Revolution, LLC from any claims, damages, losses, liabilities, or expenses arising from the use of rental equipment.

 

20. Legal Fees & Jurisdiction

In the event of a legal dispute, the prevailing party shall be entitled to recover reasonable attorney fees, court costs, and collection expenses.

Any legal action arising from this Agreement shall be brought exclusively in the courts located in the State of California and the county where Wedding Revolution, LLC operates its principal place of business.

 

21. Electronic Signature & Payment Authorization

Electronic signatures, including those provided through DocuSign or other electronic signature platforms, are legally binding under the California Uniform Electronic Transactions Act (UETA) and the federal E-SIGN Act.

Client authorizes Wedding Revolution, LLC to charge the credit card or payment method on file for deposits, balances, late fees, damages, and other charges outlined in this Agreement.
